Personal Assistant (PA001)

Reports To: Japanese Manager

Job Overview: We are seeking an experienced and proactive Personal Assistant to support a Japanese Manager. This remote role requires exceptional communication skills, advanced proficiency in Excel, and at least 2 years of relevant experience. The ideal candidate will work in alignment with Japan’s time zone, providing high-level administrative support and ensuring smooth operations.

Key Responsibilities:

  • Administrative Support: Efficiently manage the manager’s calendar, schedule appointments, coordinate meetings, and arrange travel plans. Prepare and organize documents, reports, and presentations using advanced Excel functionalities.
  • Communication: Handle and prioritize emails, phone calls, and other correspondence with professionalism. Act as a liaison between the manager and various stakeholders, ensuring clear and effective communication.
  • Data Management: Utilize advanced Excel skills to create, manage, and analyze data spreadsheets. Generate detailed reports and summaries to support decision-making.
  • Event Coordination: Organize virtual meetings, coordinate logistics for events, and ensure all details are managed effectively. Assist in planning and executing both professional and personal events.
  • Task Management: Provide support with a variety of tasks and projects as needed. Manage and prioritize multiple responsibilities to meet deadlines and ensure efficiency.
  • Cultural Sensitivity: Demonstrate an understanding of and respect for Japanese business culture and practices, facilitating smooth interactions and operations.

Qualifications:

  • Minimum of 2 years of experience as a Personal Assistant or in a similar administrative role.
  • Advanced proficiency in Microsoft Excel
  • Excellent verbal and written communication skills in English; proficiency in Japanese is advantageous.
  • Proven ability to work independently and manage multiple priorities in a remote work environment.
  • Strong organizational skills with attention to detail and accuracy.
  • High level of confidentiality and discretion.

Working Conditions:

  • Remote position with required working hours aligned with Japan’s time zone (e.g., 9:00 AM to 6:00 PM JST) i.e, 4:30 AM to 1:30 PM IST.
  • Must have a reliable internet connection and a suitable home office setup.
